“4DSite” mobile app and web platform · effective from 11 October 2026

1. Who we are

4DSite is developed and operated by SIA "4Dimanti", Reg. No. 40203787908, legal address Rīgas iela 53-24, Jelgava, Latvia, e-mail info@4dsite.lv.

4DSite is used by companies (employers) to manage their employees' work. For employee data, the employer who added you to the system is the data controller, and SIA "4Dimanti" acts as a data processor on the employer's instructions. For questions about your data, please contact your employer first; you can also write to us.

2. What data we process

• Identity and contact data: first and last name, phone number (sign-in with an SMS code), position, team, profile photo.
• Work time data: start, break and end times, project/site.
• Location: only at the moment you tap “Start”, “Switch”, “Break” or “Finish”, to confirm the work site. The app does not track your location in the background.
• Photos and documents you add: receipts, invoices, waybills, equipment damage, certificates.
• Requests and signatures: leave, advance, expense refund and other requests with an electronic signature.
• Employment data (entered by the employer in the web platform): personal ID code, address, identity document details, bank account, employment contract terms. This data is stored encrypted and is accessible only to persons authorised by the employer.
• Technical data: device push notification token, app version, sign-in times, security audit log.

3. Why we process it

• work time recording and payroll (the employer's legal obligation and performance of the employment contract);
• recording of expenses, receipts and materials per project, accounting;
• occupational safety and construction site requirements (worker lists, site ID cards);
• security and operation of the system.

We do not sell data, show no ads and do not use data for profiling.

4. Who receives data

• Hosting provider whose servers run the system: Contabo GmbH, Germany (EU).
• AI service (Anthropic, Claude API) — only to read documents that you or your employer upload (e.g. a receipt photo). Under the provider's terms this data is not used for model training.
• SMS provider — your phone number, to deliver the sign-in code.
• Notification services (Apple, Google) — to deliver notifications to your device.
• Public authorities — only where required by law.

Where data is transferred outside the European Economic Area, GDPR safeguards apply (e.g. European Commission standard contractual clauses).

5. How long we keep it

Data is kept while the employer uses 4DSite and as long as needed for the purposes in section 3, as well as for periods required by law (e.g. accounting and working time records). When employment ends, access to the app is closed.

6. Your rights

You have the right to access your data, request its correction, erasure or restriction, object to processing and receive your data in a portable format, to the extent this does not conflict with the employer's legal obligations. You can request deletion of your account and data from your employer or by writing to info@4dsite.lv. You may lodge a complaint with the Latvian Data State Inspectorate (www.dvi.gov.lv).

7. App permissions

• Location — only while using the app, when starting/ending work.
• Camera and photos — receipts, documents, damage and profile photos, QR label scanning.
• Notifications — tasks, reminders and approvals.

8. Security

Connections are encrypted (HTTPS), sensitive data (personal ID code, documents, bank account, contracts) is stored encrypted, access is role-based, and viewing of sensitive data is logged.
